1. Overview
This Cancellation Policy governs all registration cancellations and refund requests for the Integrated Approaches to Combat Trauma Conference (ACT 2026) organized by RNR Global Events.
2. Cancellation Process
2.1 Written Notice Requirement
All cancellation requests must be submitted in writing via email to:

2.2 Required Information
Cancellation requests must include:
Full name as registered
Registration confirmation number
Reason for cancellation (optional but helpful)
Preferred refund method
Contact information for confirmation
2.3 Confirmation Process
Cancellation confirmations sent within 48 hours
Refund processing timeline provided with confirmation
Outstanding issues addressed promptly
3. Refund Schedule
3.1 Early Cancellation Period
Until December 6, 2025:
Refund Amount: 100% of registration fee
Processing Fee: €50 handling fee deducted
Net Refund: Registration fee minus €50
3.2 Standard Cancellation Period
December 7, 2025 – January 15, 2026:
Refund Amount: 50% of registration fee
Processing Fee: No additional fees
Net Refund: 50% of original registration fee
3.3 No Refund Period
After January 15, 2026:
Refund Amount: No refunds available
Exceptions: Force majeure events only (see Section 6)
Alternative: Transfer options may be available (see Section 4)
4. Transfer Options
4.1 Registration Transfers
Available until January 31, 2026:
Transfer to colleague within same organization
Transfer to future conference edition (subject to price differences)
Name change processing fee: €25
4.2 Transfer Requirements
Transferee must meet eligibility requirements for registration category
Written authorization from original registrant required
Payment of any price differences if applicable
New attendee must complete registration profile
4.3 Transfer Limitations
Maximum one transfer per registration
Transfers not permitted after January 31, 2026
Category changes may require additional payment
Refunds not available on transferred registrations
5. Refund Processing
5.1 Processing Timeline
Credit Card Refunds: 5-10 business days
Bank Transfers: 10-15 business days
International Transfers: 15-21 business days
Processing Start: Upon written confirmation of cancellation
5.2 Refund Methods
Original payment method preferred
Alternative methods available upon request
International banking fees may apply
Currency conversion at current exchange rates
5.3 Refund Confirmation
Email confirmation sent when refund is processed
Transaction reference numbers provided
Bank processing times may vary
Contact us if refund not received within stated timeframe
6. Force Majeure Events
6.1 Conference Cancellation
If the conference is cancelled due to circumstances beyond our control:
Full refunds provided to all registered attendees
No processing fees deducted
Timeline: Refunds processed within 30 days
6.2 Force Majeure Circumstances
Including but not limited to:
Natural disasters or severe weather conditions
Government restrictions or travel bans
Public health emergencies or pandemics
Terrorism or security threats
Venue unavailability due to unforeseen circumstances
6.3 Conference Postponement
If conference is postponed:
Registrations automatically transfer to new dates
Refunds available for those unable to attend new dates
Additional communication provided with updated arrangements
Standard refund policies apply to postponement-related cancellations
7. Special Circumstances
7.1 Medical Emergencies
Medical documentation required
Case-by-case review for refund consideration
May qualify for exception to standard policy
Alternative arrangements considered when possible
7.2 Visa Denial
Official visa denial documentation required
Full refund available minus processing fees
Must be submitted within 30 days of denial
Tourist visa applications strongly recommended
7.3 Travel Restrictions
Government-imposed travel restrictions
Individual travel insurance claims encouraged
Conference postponement/cancellation policies apply
Personal travel choices not covered
8. No-Show Policy
8.1 Non-Attendance
No refunds for failure to attend conference
Conference materials may be available post-event
CME credits not issued for non-attendance
Future conference discounts not applicable
8.2 Partial Attendance
Refunds not available for partial attendance
Certificate of attendance reflects actual participation
CME credits issued based on verified attendance
Conference materials remain accessible
9. Group Registrations
9.1 Group Cancellation
Each registration cancelled individually
Group discounts may be affected by cancellations
Billing adjustments made as necessary
Contact group coordinator for processing
9.2 Partial Group Cancellation
Remaining registrations maintain group status if minimum met
Price adjustments applied if group minimum not maintained
Individual cancellation policies apply to each registration
10. Payment Disputes
10.1 Chargeback Protection
All legitimate cancellations processed per this policy
Unauthorized chargebacks may result in collection action
Contact us before initiating payment disputes
Documentation provided for legitimate refund claims
10.2 Dispute Resolution
Direct communication preferred for issue resolution
Mediation available for complex disputes
Legal jurisdiction: Hungarian courts
Good faith efforts to resolve all issues
11. Exceptions and Modifications
11.1 Policy Exceptions
Granted solely at discretion of RNR Global Events
Extraordinary circumstances considered individually

Decisions final and binding
11.2 Policy Modifications
Changes communicated to registered attendees
Significant changes require individual notification
More favorable terms may be applied retroactively
Legal compliance requirements take precedence

13. Final Provisions

This policy is binding upon registration completion and payment processing.
13.2 Legal Compliance
This policy complies with applicable consumer protection laws in Hungary and the European Union.
13.3 Language
In case of translation discrepancies, the English version of this policy shall prevail.
